Six desks, one engine. The companies shown are illustrative.
One platform, many desks

Build the process you have - not the process your software vendor gives you.

Process blueprints

See how Orchesta runs each desk end to end.

The orchestration engine is common. The data, rules, APIs, actions, prompts and automation are configured to the process.

Accounts Payable

Supplier inquiries become answerable AP cases.

Orchesta reads supplier emails or chats, identifies invoice/payment intent, extracts invoice number, supplier and amount, calls the ERP/AP system for current status, prepares the right answer, and keeps the case moving until closure.

1. ReceiveEmail, chatbot, portal or bulk upload enters the AP desk.
2. UnderstandClassify payment status, invoice copy, mismatch, statement or other intent.
3. ExtractRead supplier, invoice, PO, amount, dates and references with evidence.
4. ConnectCall ERP/AP APIs to retrieve invoice, payment, hold, approval or exception status.
5. ActDraft response, route exception, create task, request missing data or trigger a chase.
6. CloseSend after approval or auto-send for eligible cases; track reply, SLA and closure.

ERP/API pattern

REST/SOAP/API gateway, middleware or secure service layer can expose invoice, PO, vendor, payment and approval data.

Automation

Auto-draft standard answers, send reminders, chase owners, update status and escalate aging cases.

Human control

High-risk, missing-data or exception cases stay approval-gated; low-risk types can earn auto-send later.

Typical connected systems

Orchesta does not replace the accounting system. It orchestrates work around it and retrieves facts when needed.

SAPOracleNetSuiteDynamicsCoupaCustom ERPMiddleware

Example

Supplier asks “When will INV-28471 be paid?” → Orchesta extracts invoice → ERP API returns approved / payment run Friday → response drafted → user approves → reply sends → case closes when supplier confirms.

Accounts Receivable

Turn remittances, disputes and collection replies into structured action.

AR emails are matched to customers, invoices and open items. Orchesta can read remittance information, identify disputes, retrieve receivable data, draft collection responses, route deductions and schedule the next follow-up automatically.

1. ReceiveCustomer email, remittance attachment, portal or chatbot message.
2. ClassifyPayment promise, dispute, deduction, remittance, short pay or invoice request.
3. MatchIdentify customer, invoice(s), payment reference and open receivable.
4. QueryRead ERP/AR data for balance, due date, payment, cash application or dispute status.
5. RespondDraft answer or collection message; route dispute/deduction to the right owner.
6. Follow upPromise-to-pay reminders, aging chases, escalation and closure reporting.

Collections

Generate personalized follow-ups based on aging, history, promises and customer context.

Cash application support

Extract remittance references and hand structured data to the downstream cash application process.

Disputes

Create a case with reason, amount, invoices and evidence; assign the right resolution team and chase until resolved.

Connected data

Customer master, AR aging, open invoices, payment history, dispute status and cash-application context can be retrieved through secure APIs.

ERPBillingBank/Cash appCRMData warehouse

Example

Customer says “We paid these three invoices yesterday” → Orchesta extracts references → checks payment/cash status → drafts acknowledgement or requests remittance detail → schedules follow-up if unapplied.

Lead Management

Respond while the prospect is still interested.

Orchesta converts website enquiries, directory leads, inbound emails and conversational interactions into structured leads, enriches the context you already have, drafts a relevant response and keeps follow-up from disappearing into someone’s inbox.

1. CaptureWebsite form, email, chatbot, partner feed or campaign lead.
2. QualifyUnderstand need, location, service, urgency and fit using your criteria.
3. CheckDuplicate against CRM by email, phone, company or configured rule.
4. CreateCreate/update CRM lead and populate structured fields automatically.
5. EngageDraft or send the right acknowledgement, questions or appointment link.
6. NurtureRemind owner, follow up, escalate aging leads and report conversion stages.

CRM integration

Create or update Salesforce, Dynamics, HubSpot or your own lead system through APIs.

Agentic follow-up

Use the lead’s actual request and prior conversation to draft the next message rather than send generic sequences.

Routing

Assign by geography, service, value, language, franchise, product or any rule you configure.

Supply Chain

Keep supplier and order conversations tied to the transaction.

Order confirmations, delivery questions, shortages and capacity responses are classified and linked to the correct PO, shipment or supplier. Agents can retrieve operational status, draft the next action and chase until the exception is resolved.

1. ReceiveSupplier/customer email, portal event or chatbot interaction.
2. InterpretConfirmation, ETA change, shortage, capacity, delivery or document request.
3. MatchLink PO, order, shipment, SKU, location or supplier record.
4. RetrieveQuery ERP/TMS/WMS or supplier data through APIs.
5. CoordinateDraft response, update owner, request new ETA, route exception or trigger approval.
6. MonitorAuto-reminders, aging, SLA, commitments and closure history.

Order context

Bring PO/order/shipment status into the conversation without asking a person to search three systems.

Exception ownership

Route shortages, late deliveries and capacity exceptions to the team that can act.

Commitment tracking

Record promised dates and chase automatically when the commitment passes.

Service Desk

From request to routed, informed service case.

Requests are understood before they reach the queue. Orchesta extracts what was asked, checks knowledge or business systems, drafts the answer where possible, creates the right task where action is required, and keeps the requester informed.

1. AskEmail, portal or chatbot captures the user’s request.
2. UnderstandIntent, requester, system, urgency, entity and missing information.
3. EnrichRetrieve account, employee, customer or asset context through API.
4. Answer/routeDraft an answer or create the correct action for the owning queue.
5. CommunicateSend updates, request missing details and notify the requester of changes.
6. MeasureTrack SLA, reopen rate, backlog, touch time and the level of agent assistance.
Other Processes

If work arrives, follows rules and needs an outcome, Orchesta can model the desk.

The platform is not hard-coded to AP, AR or service. Define your entities, fields, statuses, actions, integrations, prompts, permissions, reminders and reporting model and reuse the same agentic operating layer.

Examples

Referral management, onboarding, claims intake, order desk, customer enquiries, employee requests, compliance review, franchise enquiries and more.

API actions

Read data, create/update records, invoke an approved transaction, attach documents, query status or call a downstream workflow.

Event actions

Trigger reminders, escalations, approvals, scheduled checks, customer updates and operational reporting.

Bring your process, not a product template.

Start with the messages, fields, decisions and systems your team already uses. Configure the desk around them, then decide which steps stay human, which are assisted and which can become autonomous.

Conversational experiences are included too.

Orchesta can expose the same process intelligence through a website or portal chatbot. The chatbot is the conversation layer; the agents behind it can identify the request, retrieve ERP/CRM data through APIs, create or update work, ask for missing information, draft or deliver a response, schedule follow-up and hand off to a person with the full case context. This gives customers real action - not only question-and-answer chat.

The agentic layer

Agents that work the process: across email, chat, portals and connected systems.

Chat is one way users can interact with Orchesta. Behind every channel, specialized agents classify, retrieve data, act, draft, route, follow up and maintain an audit trail.

Designed for governed AI

Control where the data lives, what the agents can do and what a person must approve.

The site should sell trust with architectural facts - not badges you do not yet have.

Dedicated customer data

A separate customer database architecture avoids mixing another customer’s rows into the same logical dataset.

Regional processing

Deploy data and AI processing in the selected region where your architecture supports that requirement.

Human-in-the-loop

Replies can remain approval-gated by default, with broader automation enabled only for chosen work types.

Auditability

Record prompts, outputs, decisions, configuration changes and the evidence behind extracted values.

Questions

The parts most products leave vague.

Mailbox access, what sends without you, where your data sits, and what happens when the engine does not know something.

Do we have to give Orchesta access to our mailbox?

No. Orchesta runs either way. Connect a mailbox and it reads and replies directly; or bring the mail in yourself and it hands the finished reply back for you to send from your own Outlook - which is how a franchise runs on an address head office owns, or a team whose IT will not hand over credentials.

Will it send something without a person seeing it?

Not by default, and never silently. Every reply waits for a person until you decide otherwise - and you decide it per kind of work, once that kind has a record of being right. The engine also records, on every message, why it could not have answered on its own.

What happens when it cannot find a fact?

It leaves the field empty and says so. A guessed value is worse than a blank one: somebody rings a wrong number or credits the wrong source and never finds out why. A missing fact can block a reply or route the case to whoever can supply it.

Does it replace our ERP, CRM or accounting platform?

No. Orchesta is the layer around the work arriving by email, before it reaches those systems. It reads from them when a process needs a fact they hold: an invoice status, an order, a customer record - and it writes nothing back that you have not configured it to.

Where is our data held?

In the country you choose. Every customer has their own database - not a shared one with a column naming them - and it sits in the region you pick when you are set up. The United Kingdom and the United States today; another is a deployment, not a rewrite.

What does it cost?

It is priced per process, and it depends on how much mail a desk actually handles. Tell us the process and roughly the volume and we will give you a number rather than a range.

How quickly can another process be added?

It is configuration, not an implementation project. A new desk is its fields, its statuses, its wording, its rules and who works it: the same engine underneath. Customers run accounts payable, lead management and a service desk side by side without a second system.

See it on your work

Bring a morning of emails. Leave with a working desk.

The strongest demo for Orchesta is not a canned scenario. It is the buyer’s own work being read, structured, routed and made answerable.
